Privacy and Data Protection

The Office of the Registrar of Consultant Lobbyists (‘we’) work for the Registrar in the implementation of The Transparency of Lobbying, Non-Party Campaigning and Trade Union Administration Act 2014 Part 1 (‘The Act’).

The Register of Consultant Lobbyists (‘the website’) is the instantiation of ‘The Register’ as defined by The Act.

Users of the service fall into two groups - registrants who are required to submit data and viewers of the published register.

When we collect your data

We collect yours (‘registrants’) data through the website when you setup an account for the Register of Consultant Lobbyists, save an incomplete registration, submit a complete registration, save an incomplete quarterly return or submit a complete quarterly return on the Register of Consultant Lobbyists.

We collect anonymous site usage information including quantitative data for both registered users and non registered users browsing all publicly available web pages.

We also keep a record of inbound and outbound communications with registrants through other channels including email, post and telephone. These records include registrations for, and quarterly returns on the Register of Consultant Lobbyists not done through the website.

How we use your information

We use registrants data in the following ways:

  • To populate the publicly available Register of Consultant Lobbyists as required by ‘The Act’
  • As required for us to undertake our monitoring and enforcement activities as stipulated in ‘The Act’
  • To make improvements to the content and usability of the website

Registration and quarterly return data we publish

We are required to publish data on The Register of Consultant Lobbyists as stipulated by ‘The Act.’ This data includes registration and quarterly submission data.

The Registrar is required to keep the published register up to date as stipulated by ‘The Act.’

Data held by third parties

Registration payment information will be held by PCI compliant third party payment gateways used by the Register for Consultant Lobbyist service. These payment gateway providers are RBS Worldpay and Gocardless.com. If we change payment gateway providers we will update the information in this page.

We do not share your personal data with third parties for commercial or marketing purposes.

Where your data is held and for how long

The system holding registration and quarterly return data is location in the UK and is reviewed in accordance with agreed Government standards.

We keep registration and quarterly return data as long as is appropriate to do so and these will be published as a record to which the public has access.

We keep our data retention periods under review and will update this section should we make changes.

Contacting you

Registrants will receive service emails from the Office of the Registrar of Consultant Lobbyists to the email address that you provide to us. These service emails including:

  • Confirmation of setup of your account / an account for the organisation that you represent on the Register of Consultant Lobbyists
  • Password reset information when a request has been made to reset the password for your account
  • Confirmation of your requested registration or requested registration for the organisation that you represent on the Register of Consultant Lobbyists
  • Confirmation of your or the organisation you represent’s accepted registration
  • Confirmation of a submission of a quarterly return
  • Confirmation of publication of your quarterly return data

We will also contact you by email, telephone or by post if required as part of the Office of Registrar of the Consultant Lobbyists’ activities related to our duty to monitor compliance activities as stipulated in ‘The Act.’

You may also receive service emails related to your payment for registration from the payment gateway providers that the Register of Consultant Lobbyists service uses.

Your will not receive marketing information from the Office of the Registration of Consultant Lobbyists.

Accessing your information

You have a right to access a copy of the personal data we hold about you. This is sometimes known as a ‘full access request’. If you would like to make a request to access the personal data we hold about you, please send a £10 fee and a written request to Office of the Registrar of Consultant Lobbyists, 35 Great Smith Street, London SW1P 3BQ, United Kingdom.

The Office of the Registrar of Consultant Lobbyists complies with the Data Protection Act 1998. It is the data controller of any personal data collected on this website. We will process any data which you provide to us when using this website in accordance with UK data protection legislation.
